Turning-In Surplus Items

Surplus and broken items must be turned in to the Virtual Warehouse.  If your department has surplus to turn in or is uncertain if the items are reusable, then follow these steps:

Computers and Electronics?  Review the e-waste flow chart (PDF) to see how electronic waste is recycled.

  1. FAX or e-mail a completed Virtual Warehouse Turn-In  form to the Virtual Warehouse (VW) Associate.
  2. Contact the VW Associate to arrange a time for inspection/photography of the items.
  3. The VW Associate will determine whether the item can be reused, recycled or disposed of depending on the type and condition of the item.
  4. DO NOT release items  without documented approval from VW Associate.  Your department remains responsible for items turned in until all approval and release signatures are obtained. 

IMPORTANT!!!  It is Virtual Warehouse policy to have items posted for a minimum of 30 days.  If your department has a deadline to get rid of surplus items, you MUST submit the Virtual Warehouse Turn-In form AT LEAST one month before that date.  Contact the VW Associate as soon as you know that you will no longer need an item. The more time the VW Associate has to work with you and post your items, the more likely the items can be redistributed to another City department or donated to a nonprofit organization in a timely, cost-effective manner.
